Data protection information on Cisco Webex Teams and Webex Meetings

Toll Collect uses Cisco Webex Teams and Cisco Webex Meetings to conduct virtual meetings. Cisco Webex Teams and Cisco Webex Meetings are cloud-based web and video conferencing services. Participants can join via a web browser, mobile devices such as smartphones or tablets or a video system.

In the following, we would like to inform you about the processing of personal data in connection with the use of Cisco Webex Teams and Cisco Webex Meetings.

When using Cisco Webex Teams and Cisco Webex Meetings, the following categories of personal data are processed:

• Registration data
• Usage data
• User-generated data
• Support data

No recording of audio or video data takes place.

Insofar as personal data of Toll Collect employees or applicants is processed when conducting the web conferences, the legal basis for processing is Section 26 (1) sentence 1 German Federal Data Protection Act (BDSG).

Insofar as personal data of Toll Collect customers and partners or other third parties are processed when conducting the web conferences, the legal basis for processing is Art. 6 (1) lit. f General Data Protection Regulation (GDPR). Toll Collect's legitimate interest in the processing is to enable efficient communication between Toll Collect employees and its customers, partners and other third parties via the web conference.

Insofar as Toll Collect determines key figures about the existing accounts within Toll Collect and the web conferences conducted, the legal basis for the processing is Art. 6 (1) lit. f General Data Protection Regulation (GDPR). Toll Collect's legitimate interest in the processing is to make a forecast about the use of web conferencing within the company.

With regard to the reasonable expectations of the data subjects, their possibilities to intervene and the scope of the data processing, the interests of Toll Collect are thereby considered to be predominant.

The use of the video function is voluntary and is only activated when the user switches it on. Insofar as the video function is used by employees, applicants, customers and partners, the legal basis for processing the video data is the consent given.

Automated decision-making within the meaning of Art. 22 General Data Protection Regulation (GDPR) is not used.

Toll Collect purchases Cisco Webex Teams and Cisco Webex Meetings from T-Systems International GmbH. Both T-Systems International GmbH and Cisco International Limited and their other processors necessarily obtain knowledge of the above-mentioned data, insofar as this is provided for in the underlying order processing agreement pursuant to Art. 28 GDPR.

Furthermore, the participants of the web and video conferences will of course also become aware of your contributions and the content you share.

To protect your privacy, for example when participating in web and video conferences from your private home, you can display a virtual background via the camera settings.

Unfavourable camera orientation, taking the equipment into unsuitable rooms or rooms occupied by third parties, the unprepared visual and/or acoustic appearance of third parties in the video conference and similar "mishaps" should be avoided.

Cisco International Limited processes personal data arising from the conduct of web and video conferencing in countries outside the European Economic Area. In order to ensure the protection of the personal rights of the users also for these data transfers, standard data protection clauses of the EU Commission pursuant to Art. 46 para. 2 lit. c GDPR have been agreed.

The above-named data will be stored for as long as is necessary to provide and operate the web and video conferencing service. Details on the storage of this data can be found under these links:

• Right to revoke permission for processing,
• Right to data communicability.
